Plain English summary: AimTax is a tool to help you file tax records to HMRC. You are responsible for making sure your records are accurate. We are not an accountant or tax adviser. If you miss a deadline or enter wrong information, HMRC penalties are your responsibility.
1. About AimTax
AimTax is a Making Tax Digital (MTD) software service that helps UK sole traders and landlords keep digital tax records and submit quarterly updates to HM Revenue and Customs (HMRC).
By creating an account and using AimTax, you agree to these Terms of Service. If you do not agree, please do not use the service.
These terms are governed by the laws of England and Wales.
2. The service we provide
AimTax provides:
- Digital record-keeping for income and expenses
- Quarterly submission of your tax data to HMRC
- Display of HMRC estimated tax figures
- Secure connection to your HMRC Government Gateway account
- Confirmation emails with your HMRC Correlation ID after each submission
AimTax is software only. We are not a firm of accountants, tax advisers, or regulated financial advisers. Nothing in AimTax constitutes tax advice. If you are unsure about your tax position, please consult a qualified accountant or tax adviser.
3. Your responsibilities
You are responsible for:
Accuracy of your records: you must ensure that all income and expenses you enter into AimTax are accurate and complete. AimTax submits whatever you enter to HMRC — we do not verify your figures.
Timely submissions: you are responsible for submitting your quarterly updates before each HMRC deadline. AimTax will remind you of deadlines but cannot submit on your behalf without your instruction.
HMRC penalties: if you miss a quarterly deadline, submit inaccurate information, or fail to comply with HMRC requirements, any penalties or interest charges are your responsibility. AimTax is not liable for HMRC penalties under any circumstances.
Account security: you are responsible for keeping your AimTax password and HMRC Government Gateway credentials secure. Do not share your login details with anyone.
Eligibility: you confirm that you are a UK resident required to comply with Making Tax Digital for Income Tax.
4. Subscription and payment
AimTax is available on a subscription basis with three plans: Starter (£9/month), Pro (£19/month), and Accountant (£49/month).
All plans include a 14-day free trial. No payment card is required to start a trial.
After the trial period, you will be charged the subscription fee monthly. Payment is processed by Stripe. We do not store your card details.
You may cancel your subscription at any time. Cancellation takes effect at the end of your current billing period. We do not offer refunds for partial months.
We reserve the right to change our pricing with 30 days notice. We will email you before any price change takes effect.
5. Data and HMRC submission
When you click Submit in AimTax, you are instructing us to send your financial data to HMRC on your behalf. By clicking Submit, you confirm that the information is accurate and complete to the best of your knowledge.
AimTax stores your financial records for 5 years as required by HMRC. You cannot request deletion of financial records during this retention period as this is a legal obligation.
We submit your data to HMRC using their official API and in accordance with their Functional Compatible Software requirements. AimTax is registered with HMRC as a software provider.
6. Availability and reliability
We aim to provide AimTax with 99% uptime. However, we cannot guarantee uninterrupted service. The service may be unavailable due to:
- Planned maintenance (we will notify you in advance)
- HMRC API outages (outside our control)
- Unexpected technical issues
If AimTax is unavailable close to an HMRC deadline, you should file directly through HMRC's own service at gov.uk. We are not liable for missed deadlines caused by service outages.
We will notify you by email of any planned maintenance that may affect your ability to submit.
7. Limitation of liability
AimTax is provided as a software tool to assist with tax record-keeping and submission. To the maximum extent permitted by law:
- AimTax is not liable for any HMRC penalties, interest charges, or fines you incur
- AimTax is not liable for any errors in your tax records that you entered into the system
- AimTax is not liable for losses caused by HMRC API outages or changes to HMRC systems
- Our total liability to you in any 12-month period is limited to the subscription fees you paid to us in that period
Nothing in these terms limits liability for fraud, death, or personal injury caused by our negligence.
8. Intellectual property
AimTax and all content, software, and technology within it are owned by us and protected by UK intellectual property law.
Your financial data belongs to you. We do not claim any ownership over the records you enter into AimTax.
You may not copy, modify, reverse engineer, or resell any part of AimTax without our written permission.
9. Termination
You may close your account at any time by emailing hello@aimtax.co.uk.
We may suspend or terminate your account if:
- You breach these terms
- You use AimTax for fraudulent or illegal purposes
- You fail to pay your subscription after reasonable notice
- We decide to discontinue the service (we will give you 90 days notice)
On termination, you may request a copy of your financial records before they are deleted. We will retain records for the legally required 5-year period regardless of account status.
10. Changes to these terms
We may update these terms from time to time. When we make significant changes, we will email you at least 14 days before the changes take effect.
Continued use of AimTax after changes take effect constitutes acceptance of the updated terms. If you do not agree with changes, you may cancel your subscription before they take effect.
